We provide businesses with a dedicated phone number, automated call answering, appointment booking, and SMS confirmation services. This Privacy Policy explains how we collect, use, and protect information when you interact with CallFlow.

- Information you provide when signing up — including your name, business name, email address, and phone number.
- Information collected during calls — including caller name, phone number, service address, and description of service requests.
- Appointment information — dates, times, and job details created during the booking process.

- Provide and operate the CallFlow service on your behalf.
- Answer incoming calls and book appointments for your business.
- Send SMS confirmation messages to callers who have verbally consented during the call.
- Send call summaries and job notifications to business owners and technicians.
- Improve and maintain the performance and reliability of our service.
- Respond to your support requests and inquiries.
4. SMS Messaging & Opt-In Consent
We do not send marketing or promotional SMS messages. All messages sent through CallFlow are transactional — appointment confirmations, job notifications, and service-related updates only.
We do not sell or share phone numbers collected during calls with any third parties for marketing purposes.
5. How We Share Information
We do not sell your personal information. We may share information only in the following limited circumstances:
- With service providers who help us operate CallFlow — including ElevenLabs (AI voice), Make.com (automation), Google Calendar (scheduling), and Twilio (SMS delivery).
- With the business owner whose number the caller dialed — call details and appointment information are shared with that business as part of the core service.
- When required by law or to protect the rights, safety, or property of CallFlow or others.
6. Data Retention
We retain call and appointment data for as long as necessary to provide the service. Business owners may request deletion of their data at any time by contacting us at the email address below. Caller data collected during service calls is retained only as long as needed to fulfill the appointment and deliver confirmations.
7. Data Security
We take reasonable measures to protect the information we collect from unauthorized access, loss, or misuse. However, no system is completely secure and we cannot guarantee absolute security of your data.
8. Children's Privacy
CallFlow is not directed at children under the age of 13. We do not knowingly collect personal information from children. If you believe we have inadvertently collected such information, please contact us immediately.
9. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. Continued use of CallFlow after changes constitutes acceptance of the updated policy.
